 Computer Tips & Tricks

Excel - Hold down the Shift key while using your arrow keys to create a perfectly sized selection box around your data. It's much faster and more accurate than using your mouse.
Word - When working in tables, most people know that you can change row and column sizes, just by click and dragging the borders. But if you want them to be a particular size, it can be challenging to get them just right. However, if you hold
down the Alt key while you drag or hold down both the left and right mouse buttons while you drag, Word shows you the dimensions in the ruler.

Internet - Internet Explorer allows you to "lock your toolbar". This helps to prevent accidental reformatting. Just right-click over any toolbar to enable this option. ( Internet Explorer version 6 )
QuickBooks - QuickBooks Basic, Pro and Premier each have a combined total list limit of 14,500 items, including items in your vendor, customer, employee and inventory item list. To see if you are nearing the limit, click on F2 to check your list totals. If your lists can?t be condensed sufficiently, you may want to look at QuickBooks Enterprise Solutions, offering a combined total list limit of 29,000 items, twice that of QuickBooks Basic, Pro or Premier. Want to try QuickBooks? We have free trial software! Pro, Premier, On-Line,Basic, Retail, and Enterprise Editions. Contact ETR for your free software! No strings attached.
Windows - If your keyboard does not have a "Windows" key, don't fret. Just hit Ctrl-ESC. It performs the same function (pulling up the Start Menu).

Beware of employees who take on too much...
At first glance they are your favorite employees-always ready to take on whatever tasks need doing. Yet somehow a lot of those tasks never get done. These folks are the "superagreeables." They genuinely want to help and win your approval, but they take on more than they can do. In the end, they can put you as far behind schedule as your worst complainers. Try these techniques for boosting their reality:

Ask for truth tellers, not, yes people. Tell them that expressing reservations about managers idea's, pointing out problems, asking for help, and speaking up when they're overloaded, are things you'd like to see them do.

Get to know them. Find out why they're so afraid of being frank. For example, these folks often use humor to get around saying "No." If you ask them to meet a difficult deadline, they may laugh and say something like "Sure, one more task on top of the 100 I've already got will be no problem. The trouble is, they may actually have unfinished tasks, despite that ironic tone. Your challenge is to listen well and know when to follow up.

Get beneath the surface. If your superagreeables say "Sure," ask them: "What else have you got pending? How long will those tasks take? What procedures will you use for the new task? How long will that take? And so on."

Special New Feature! Article 1 of 25....

1. Review For Rapport

Studies show that employees value appreciation and involvement over money. So why does the annual performance appraisal revolve around the size of the pay raise? It's time to rethink the way we evaluate our people. Here are some suggestions:

  • Stray from the form. An employee evaluation should involve more than a report card? in which you grade people on their punctuality and teamwork. It should be an interactive dialogue, an opportunity to recognize accomplishments, define responsibilities, and settle differences.
  • Keep it informal. Conduct your reviews over lunch or a cup of coffee, instead of across your desk. The setting will feel more like a casual conversation between colleagues, as opposed to a boss reviewing a subordinate.
  • Listen. Appraisals should give employees a chance to review your performance  as a supervisor. Give them plenty of opportunities to share their opinions and concerns.

You don't have to wait  12 months to establish this type of rapport with your staff. Instead schedule your reviews every six months or, even better, quarterly. If your budget doesn't allow for pay raises that frequently -and who does?- find other, inexpensive ways to compensate your top performers. It could be a free lunch, a simple thank you letter, or a small donation to the employee's favorite charity.  -- Regan's Management Resources
